Track maintenance and service orders

Record preventive or corrective equipment maintenance and manage customer-facing service orders.

Use a maintenance record for work on your equipment. Use a service order for service work you perform for a customer. The service-order list can show both kinds of work, but they have different forms and status actions.

  1. Open Maintenance and select New maintenance. Choose the Product and, when the equipment is individually tracked, the relevant Asset.
  2. Choose Preventive or Corrective, enter the quantity and a description of what you observed, then select Create maintenance. A linked asset is shown as in maintenance while the record is active.
  3. From the maintenance list, use Start maintenance and Complete maintenance as work progresses. Enter actual cost and completion details where the form requests them.
  4. For service work you perform for a customer, open Service orders, select New service order, choose the customer and service items, then select Create service order.
  5. Open the order to review its status, value, and financial entry before approval or delivery. Keep a repair or condition note tied to the correct asset and rental where relevant.

Note: Marking equipment returned does not mean it is ready for a new rental. Review maintenance status and availability before promising it again. Do not state that a customer caused a condition issue until your team has checked the evidence and rental terms. Maintenance and service-order access can depend on enabled modules and user permissions.
